JOB SUMMARY
At First Baptist Church of Panama City, our mission is to go and make disciples of all nations by evangelizing and teaching people how to become fully mature followers of Jesus Christ. You will be contributing to a peaceful, respectful, and hope-filled environment for individuals seeking care. The position is responsible for being the first point of contact for clients and visitors at The Hope Center and is responsible for providing administrative support that reflects both professional standards and Christ-centered care. This role supports the clinical team by managing front office operations, protecting client confidentiality, and ensuring a safe, organized, welcoming environment. The receptionist is a non-clinical position and does not provide counseling services, clinical guidance, or interpretation of treatment.
EXPERIENCE, EDUCATION, AND SKILLS REQUIRED
●High School diploma, Associate’s Degree/Certification, or equivalent required; prior
administrative or medical/clinical office experience preferred.
●Strong interpersonal and communication skills.
●Ability to handle sensitive information with discretion and maintain strict confidentiality.
●Competency in office systems, scheduling software and basic financial processes.
● Strong organizational skills and attention to detail.
● Ability to manage multiple tasks in a professional environment.
● Alignment with the Christian mission and values of The Hope Center as well as the
Baptist Faith & Message.
TYPICAL PHYSICAL AND MENTAL DEMANDS
Requires constant (67%-100%) sitting for long periods of time. Requires operation of
standard office machines, including computers, multi-line telephone, and copier.
Requires the ability to work in front of a computer monitor and operate a keyboard for
extended periods of time. Requires (1%-33%) ability to move freely about the church
campus. Requires occasional (1%-25%) bending, reaching, and must be able to lift up
to 25 pounds. Requires corrected vision and hearing to the normal range. Requires the
ability to communicate clearly.
TYPICAL WORKING CONDITIONS
Requires contact with the public. Work is performed indoors in an air conditioned/heated facility. Occasionally it may be required to attend a function or event as a representative of The Hope Center.
JOB FUNCTIONS AND DUTIES
1. Greet an assist clients and visitors with professionalism, dignity and compassion.
2. Answer phones, respond to general inquiries, and route communication appropriately.
3. Schedule, confirm, and manage appointments in accordance with established office procedures.
4. Provide clients with required forms (e.g. intake, consent, policies) and ensure completion prior to service.
5. Maintain appropriate professional boundaries; refer all clinical questions or concerns to licensed staff.
6. Maintain accurate and organized client files and scheduling systems.
7. Perform date entry and basic record maintenance in compliance with documentation policies.
8. Collect payments, issue receipts, and document transactions as directed.
9. Support billing processes administratively (non-clinical) as assigned.
10. Manage office supplies and maintain readiness of reception and waiting areas.
WORK BOUNDARIES AND LEGAL CONSIDERATIONS
● This position is strictly administrative and does not include the provision of counseling, assessment, diagnosis, or treatment.
● The Receptionist shall not offer clinical opinions, advice, or spiritual direction that could be construed as counseling.
● All clinical matters, including crisis situations, must be immediately referred to qualified licensed personnel.
● The Receptionist is required to follow all organizational policies, including informed consent procedures, documentation protocols, and mandatory reporting processes as directed by licensed staff.
● The Receptionist will engage in role-appropriate encouragement consistent with the Center’s values, while maintaining professional and ethical boundaries.
